Retained Consultancy

Whats it All About?

RedKnight’s retained consultancy offers clients priority access to a number of innovation funding services. We agree to work under a retainer agreement for a small subset of select clients. This enables RedKnight to develop long-term relationships with these clients, ensuring an effective innovation funding strategy is developed, implemented, and refined.

A typical retainer commits RedKnight to a specified minimum number of hours of service per month (typically a 1-hour planning meeting plus 7-hours service delivery). The service is based on a monthly rolling contract and alternative plans can be arranged at the client’s discretion, providing excellent flexibility.

What Does The Service Include?

Retained services will depend upon each specific contract. They may include:

Technical Assistance

  • Project scoping sessions to flesh out the application content (does not include bid-writing)
  • Providing advice and technical support (for example, reviewing project budgets and ensuring eligibility with the funding programme rules and regulations
  • Engaging in planning sessions with client staff
  • Presenting workshops/training to client staff
  • Provide a “critical friend” service to reviewing draft applications
  • Ensure alignment between the tenant’s project and the funding opportunity

Research

  • Performing grant prospect research
  • Horizon scanning for relevant funding opportunities
  • State-of-the-art/competitor analysis of other funded projects
  • Ad-hoc activities as agreed with client (e.g., market research)

Other

  • Partner/project searching and brokerage
  • Pitch deck development

Frequently Asked Questions

RedKnight was established in September 2015. However, our track record far predates this time. The RedKnight team has over 50 years’ combined experience and has accessed over £50m of grant funding. You can read more about the team here.

RedKnight has its office in Cardiff, and is located in the heart of the city’s professional services district.

With every passing deadline, our success rate fluctuates. However, it typically falls between 38% and 50%. We are extremely proud of this achievement at a time when some competitions have a success rate of less than 10%!

We pride ourselves on making life as easy as possible for our clients. Our bid-writing consists of three phases:

  • Draft version
  • Optimised version
  • Final version.

Delivering our service in this way keeps the process structured and means the client isn’t endlessly reviewing drafts. In parallel with this process, we will also collate all necessary information to create supplementary documents e.g. appendices and financials. We’ll even upload it to the portal and click the submit button!

We like to allow between 4 and 6 weeks to develop a comprehensive funding application. If you’re applying as a single entity then 4 weeks is often sufficient. If you are working in collaboration, additional time is required to collate information and allow the full project team to review drafts.

Due to the size of our team and the number of applications we submit each year, we cannot offer a no-win no-fee service. However, our charges are extremely competitive with industry norms and our testimonials speak for themselves!

We operate a mixed model costing structure with an upfront fee for the bid-writing and a success fee if the application is successful. The upfront fee is based on the page limit of the application and the success fee is a % of the grant we help you secure. For a detailed quotation please contact our team today.

The UK definition of SME is generally a small or medium-sized enterprise with fewer than 250 employees. The European Commission adds that they must have either an annual turnover not exceeding €50 million or an annual balance sheet total not exceeding €43 million.

SMEs make up around 99.9% of all businesses in the UK, and so are enormously important to the UK economy. For grant funding, there are also issues that relate to the company’s status i.e. whether it is strictly autonomous, a partner, or a linked enterprise. We can help you to ensure that you are eligible in this respect.

There are a number of issues that affect whether your company is eligible to access a particular funding stream. You should consider:

  • Company size – some programmes are designed for SMEs only whilst others may just need an SME in the consortium.
  • Consortium size – some programmes are designed for single entities, just one SME for example whilst others need a group of partners fulfilling discrete roles.
  • Location – some programmes require companies to be in different countries. This is typical of many European funding schemes.
  • Company status and ownership – whether you’re an autonomous or linked or partner company is an important aspect which can affect your eligibility. (See SME ).
  • Your innovation project idea – different funding streams may have different ideas about the level of development of your project – the starting point and where it’s expecting to end up. This is usually defined by Technology Readiness Levels.

Be aware that different competitions within the same overall funding programme can also have different eligibility criteria.

Different competitions have different rules, but you can generally apply to multiple competitions at the same time. However, if you are successful with more than one application for the same project, you will need to decide which fund to progress with.

On 24th December 2020, the UK Government announced that it had reached a post-Brexit agreement with the European Union. Importantly, the deal confirmed that the UK will continue to participate in a number of EU programmes for the period 2021-2027. This includes Horizon Europe – the EU’s €95.5 billion framework for research and innovation, for which it will have Associated Country status. You can find more information here.

  1. Fundamental Research – the earliest stage of research and development, where an organisation undertakes experimental or theoretical work to gain new knowledge of “underlying phenomena and visible facts.”
  2.  Feasibility Studies – a feasibility study involves analysis and evaluation of a project’s potential to support the decision-making process.
  3. Industrial Research – it involves planned research or critical investigation to gain new knowledge and skills.
  4. Experimental Development – the use of existing knowledge and skills in order to develop a new or improved product. Projects may involve prototyping, demonstrating, piloting, testing, and validation in environments representative of real-life operating conditions.

Created by NASA in the 1980’s, the Technology Readiness Level (TRL) scale is a tool to help measure the current developmental stage of a piece of technology. Most funding programmes expect applicants to have an awareness of where their technology sits on the scale. In fact, most competitions will only fund technology between certain points. You can find an introduction to TRLs here.

Grant Claim Management

Taking Care Of Your Project

When you are awarded grant funding, you are required to undertake a range of grant claim management tasks for the funder. They need confirmation that you are delivering the project outlined in your application. Without this, you won’t receive funding.

Not only is this process time-consuming, but it can also be daunting – particularly if it is not something that you or your team have experienced before. RedKnight can help; we have extensive experience with UK and EU grant funding and can guide you through the grant claim management process. We will ensure the claim is processed as quickly as possible so that you receive the funding you need to deliver your project.

What does the service include?

We take care of demanding administrative tasks so you can focus on your project. This includes:

  • Project set-up documentation
  • Second level planning
  • Claim submissions
  • Monitoring officer liaison
  • Project change requests

Who is grant claim management for?

This service is aimed at businesses already running a grant-funded project, or those who are currently applying for funding. You can include our services in your application as our fees are typically counted as an eligible project cost. For Innovate UK,  this can be up to 70% funding towards them. For Horizon Europe, it would be either 70% or 100%.

“The most professional and committed team who should be commended on their attention to detail and tight deadlines. Extremely responsive, genuinely supportive and knowledgeable. This company is completely committed to providing a true ‘consultancy’ service. They are seasoned consultants and are invested in your success. It was refreshing to work with such a highly professional, courteous, organised and talented specialist consultancy. I look forward to working with them again.”

Project Evaluation & Review

Our Experience at Your Service.

If you have already prepared a grant application, but feel it could benefit from a second opinion, our Review service is for you. One of our experienced bid writers will conduct a thorough review of your application, ensuring you have adequately answered each of the application questions. Where necessary, they will provide actionable feedback so that you can improve your application before submission.

RedKnight is proudly unique in that we have in-house expert reviewers and evaluators. Their experience was gained within the very funding organisations to which we now apply! For example, RedKnight’s Co-Director, Professor Peter Quantick, worked as an evaluator and reviewer for the European Commission for over 25 years. In addition, RedKnight’s Associate Bid Writer, Dr. Diana Branzea, previously worked as an assessor for Innovate UK. Therefore, you can be confident that our team will expertly review your application, providing the extra detail that you need to produce a high-quality application.

We also offer an English language proofreading service, which aims to improve the readability of your grant applications. You can read more about this here.

An Introduction to Technology Readiness Levels (TRLs)

Our Key Services

NASA developed Technology Readiness Levels (TRLs) in the early 1970s as a means of assessing whether emerging technology was suitable for space exploration. By the 1990s, it was in use across many US Government agencies, including the Department of Defence (DOD) and the Department of Energy (DOE). TRLs are now in common use across various funding programmes, including Innovate UK and Horizon Europe. The different levels are based on a scale from 1 to 9, with 9 representing the most mature technology:

The use of TRLs enables consistent, uniform discussions of technical maturity across different types of technology. There are some key messages to remember:

External Factors

TRLs are a measure of technical risk. However, by themselves, they may not relate to risks, cost and schedule. For instance, a technology at a low TRL can mature more quickly than those at higher TRLs. In addition, if the project environment changes, it is also possible that TRLs will go down as well as up. Therefore, you should analyse your TRLs with care and consider the external factors that might affect them.

Technology Readiness Levels

TRLs relate to individual plant items they do not suggest that the individual plant items can be integrated and will work together. When it comes to R&D funding, then, it is possible that the innovative technology is actually the sum of different individual items. A valuable suggestion would be to assess the TRLs of each of the parts composing the technology.

TRLs Cannot Indicate Eligibility

Remember, TRLs indicate how far the technology is from commercialisation; they do NOT indicate, on their own, whether it is eligible for a funding application. Other factors, including scope, are also important. When you approach a funding competition, we’d advise that you read the scope first and use TRLs to support your application.

R&D Tax Relief

R&D Tax Credits Introduction

Research and Development Tax Relief is a government incentive designed to make innovation easier for small companies. Companies can derive significant cash benefits directly linked to the level of qualifying expenditure their R&D activities have incurred.

Since the scheme’s inception in 2000, over 300,000 R&D tax credit claims have been submitted to HMRC, with over £33.3bn successfully recovered in tax relief over this period. The average claim value currently stands at £57,000 for SMEs and £332,000 for large companies.

How do R&D Tax Credits work?

Companies have two years from the end of their accounting period to make, or amend, an R&D claim so there is often scope for companies to derive significant immediate cash benefits.
R&D can generally be thought of as work undertaken to develop new, or improved, products or processes. For example, developing an automated process, or one that is quicker, more efficient or creates less waste etc. may potentially qualify.

There are a range of qualifying categories of expense, including staffing costs, contracted out activities, EPWs (for instance, agency workers), consumables, computer software, utilities and payments to the subjects of clinical trials. However, knowing that staffing costs qualify is the easy part. The complexity in preparing a claim involves, for example, identifying all employees involved within the R&D process and establishing the correct proportion of time they were engaged in qualifying activities.

Preparing a standard R&D claim is far from complicated, but unless a company takes proper, experienced advice they risk losing out on cash benefits to which they are entitled. The real added value lies in identifying all R&D projects undertaken (including work on processes), all qualifying activities, all employees involved, and all other qualifying expenditure incurred. The documentation submitted to HMRC in support of a claim is vital. This helps HMRC to determine whether a company’s activities qualify and therefore a company needs to ensure that the R&D Report contains the required information.

Bid Writing

Writing a Winning Grant Application

Bidding for grants and funding can be a frustrating, tiresome and demoralising process. Hours can be wasted putting pen to paper, just for your hard work to be torn apart. Of course, this is all part of the democratic process required to justify the investment of public money.

Truthfully, there is no quick-fix or magic formulae to winning grants. However, there are certain steps you can take to ensure the funding you are bidding for is right for your organisation and that you put forward the most competitive proposal possible.

RedKnight’s 5 step self-assessment is an internal process we undertake on behalf of every client before we begin writing any funding application. This includes:

IDEA

Before even considering funding options, it is imperative that you have a clear understanding of exactly what it is you want to do. Clearly identify your aims and objectives and the tasks you need to undertake to achieve these.

FUNDING

Once you have a clear project idea, you can then review the funding opportunities available and determine whether your project fits within the funding call scope. There is no substitute for sitting down and reading, but most importantly understanding, what the funding call is looking to fund. Remember, square pegs do not fit round holes!

CAPACITY

Do you have the in-house skills to achieve what you are setting out to do? And be honest with yourself. If not, you may have to consider working in collaboration.

TRACK RECORD

Are you able to convince the evaluators that you can deliver the project? As with point 3, if not, you may want to consider teaming up with a more experienced partner who is used to running projects.

PARTNERS

If you’ve answered ‘No’ to points 3 or 4, you will likely need the support of a project partner, but even if you do have the capacity and track-record, some funding programmes insist on collaboration. It is essential that you understand the eligibility criteria of the call you are applying to, and what types of organisations are eligible.

About Bid Writing

We encourage all organisations to consider the above points before they waste valuable time and money on a grant application that they aren’t quite ready for.

It is also important to remember that even excellent proposals aren’t always successful. RedKnight has supported many applications that have passed the threshold but haven’t received funding. The critical point is to learn from the feedback you receive and to persevere.
